Frequently Asked Questions
HOW DO I KNOW IF I NEED A MARKETING AGENCY?
Clients come to us because they either are beginning something brand new (launching a brand, setting up a CRM/Email for the first time) and know they don’t have the resources or expertise in their team needed. Or, they’re looking for an agency because they’re having trouble finding and retaining the right marketing talent in-house.
Digital marketing is increasingly technical, and the agency model is much more affordable and efficient for small businesses than hiring an entire marketing team. With our agency, you essentially get part time access to our team of marketing strategist, email marketer, copywriter, graphic designer, project manager, web developer, web designer, SEO specialist, and more.
Some small business owners have had experiences with one or more freelancers and know that it takes a lot of time and coordination to work this way. They also quickly learn that they need to provide strong direction in order for work to get completed, and often realize that they don’t have the bandwidth or desire to be the technical industry expert and project manager needed in this role.
Whatever the exact scenario, our clients are relieved to find an agency that can be strategic, manage the coordination, be able to scale with their needs, and ultimately deliver results with minimal input from them. The monthly metrics and reporting allow us to take responsibility for our channel’s marketing and look for ways to continuously improve to drive performance.
WHAT SERVICES DOES YOUR MARKETING AGENCY OFFER?
We offer CRM, Email and SMS Marketing, Website Design and Development, Content Marketing including SEO optimization, Social Media Marketing, and Creative and Design services. In addition, we offer for our clients marketing strategy, project management and reporting on our marketing channels performance.
WHAT IS AN AUDIT?
During an audit, we review existing channels, tools, resources, and have a conversation with you about your business and goals. We then perform an analysis on your channels, gathering data on what content is performing, what your customers are engaging with, and what’s performing vs. what’s not performing. We then make recommendations based on opportunities we identify and share with you a proposed action plan for implementation.
Some opportunities we identify include brand consistency, optimizing SEO and reach, building awareness through social media and hashtag usage, having a clear message and offering on your website, increasing traffic through email marketing and marketing automation, paid advertisement, and incorporating customer feedback into your customer’s journey.
Our goal in an audit is to provide you with insight and value to make your marketing more performant. You can read more about our email marketing audits here.
DO I REALLY NEED A CRM?
It’s not necessary to have a CRM to be successful, and not every business needs one. However, if you’re a small business that’s got plans to grow, and you have any kind of plans to let someone else support that growth, a CRM is essential. Every business is different, and every CRM implementation is unique – but they always are focused on better tracking your sales and marketing efforts.
For eCommerce clients, we recommend a strong marketing automation system, and if we’re going to be supporting you, that means we look at Klaviyo. For B2B clients, we often recommend Hubspot CRM – usually a Free or Starter plan is enough to get you on the right track.
We don’t always or only work in Klaviyo or Hubspot, but when all else is equal and when we have expertise in some tools over others, it makes sense to. Read more about CRM on the blog, and book a free consultation if you’d like to talk about which CRM is right for your business.
HOW DO YOU PRICE YOUR SERVICES?
Pricing as an agency is all about working with clients to define a clear statement of work, creating a project plan and creating the agency team that can deliver results. It may sound straightforward, but to do this well we have many moving parts to wrap our head around at the beginning. That’s why we ask to have a conversation about the project first so we can gather the information we need to create proposals designed to deliver results. There isn’t a simple equation or online calculator that can do this well, unfortunately.
However, with our experience supporting 80+ clients we have enough of our own data to draw on and we are able to list rough pricing of services to give clients an idea of whether we’re a good fit in terms of budget.
We do recommend most clients to start with an audit. Not only does it mean we have fewer surprises because we are addressing opportunities from the start instead of discovering them along the way and then needing to adapt, it also means we can order our project plans in order of priority and revenue-driving potential to help you reach your goals and make your budget work for you. For example, if we know that optimizing your email marketing system can get you 7-10% more revenue, we’ll start with that. It’s the low hanging fruit that will offset the cost of other high potential marketing services like ongoing email marketing campaign management.
Each business is unique, but every client relationship starts with an open conversation about goals and how we can help you reach them. Book a free consultation call.
WHAT IS THE PROCESS OF WORKING WITH A MARKETING AGENCY?
We believe working with a marketing agency should start with a conversation about goals, communication style, and expectations.
With any new client, we would start with a short call to create a Statement of Work. Then, we would send you the necessary paperwork so you can officially engage us as a service provider.
Onboarding a new client depends on the specific services we’re providing, but includes:
-Getting access to systems
-Collecting key information [like logo files, brand guidelines]
-Scheduling any calls or project check-ins we will need to collect any specific input or feedback to deliver services according to project plans.
HOW WILL YOU WORK WITH MY TEAM?
We love a good team – and if you have experts in yours, that’s an asset and we’ll do our best to make use of it!
It’s always a win when you already have team members who know your brand language, customers, visual assets, system intricacies. We collaborate and work well with others and often other team members and providers are happy to have a strong marketing partner on board to manage the day to day. Paid ads expert are happy to see their own ROAS increase because good email lists make for good re-targeting audiences, and web agencies are happy to have someone who can develop strong contant like FAQs and provide correctly sized creative for campaigns and landing pages.
We’re all working towards the same goal.
ARE YOU A 1099 CONTRACTOR?
Yes, when you engage our services we are working for you as a 1099 contractor, not a W2 employee. As part of our onboarding, we will send you our W-9 form so that you have it on hand to meet any annual filing requirements.
The deadline for 1099 reporting is January 31st for the year before, and we usually send a gentle reminder to clients in early January with our W9 attached again, just in case.
You can simply forward the information on to your bookkeeper, or if you are handling this yourself use a service like Track1099.
HOW INVOLVED DO I NEED TO BE IN THE MARKETING PROCESS WHEN WORKING WITH YOU?
The answer is, it really depends on you.
We have a number of clients with differerent businesses and communication preferences. Some businesses we can plan out a yearly calendar and it can get set in stone. Other businesses have more moving parts and can only really plan out 6-8 weeks in advance.
Some clients give a quick sign-off via email when needed or trust us to do final checks internally once we’ve learned what clients are looking for in terms of style, tone, design. Other clients like to be walked through things and see them visually in a zoom call.
Our goal with every client is to deliver exceptional marketing results in a way that works for you.
At a minimum, we ask our clients to complete onboarding, and then meet quarterly for an hour to review a marketing plan and get sign off on our content strategy, email marketing campaigns, and any other initiatives we are supporting.
At a maximum, our team is available to check in weekly to review progress and capture final sign-off or feedback in person.
HOW LONG DOES IT TAKE TO SEE RESULTS?
Good question!
The answer is it depends on what the specific marketing project and channel is, they really are different. We ask ourselves with every client and project, what results are we looking to create? And how aggressive is the marketing plan or strategy?
Blog content to attract new audiences through SEO will have longer times to show results, in the 6-12 month range.
Social Media may take 3-6 months of consistent posting to build an audience and drive engagement.
Setting up an email marketing strategy can take about 1 month and start to see results almost immediately, another reason most of our clients start with an email marketing audit and email marketing management services.
Not every result is tied directly to revenue, either. I.e. a CRM training may be needed to retain more of your sales team who are struggling with their day to day roles. Or something may be broken or non-existent, like “the tracking doesn’t work” or “we haven’t started with SMS marketing” in which case you may be better off asking the question “What is the impact of not addressing the problem?” or “What is the future potential of this project.”.
Any conversation about results is really about goals, timelines, and resources. We enjoy working with our small business clients to come up with goals and then deliver on them.
HOW DO I MEASURE SUCCESS OF MARKETING EFFORTS WITH AN AGENCY?
Great question.
We always suggest looking at Return on Investment. High level, this is a metric showing the cost of something vs. the revenue it generates for your business.
Calculating Cost: To calculate cost you’ll want to take into account any agency fees, but also things like software license fees or any creative assets you may purchase. Ideally (and often underreported) is to also calculate your own team’s time into the equation.
Calculating Revenue Generated: If you’re an ecommerce or online business this is relatively straightforward to see through your Google Analytics or marketplace reporting, allowing for attribution. Note, attribution can vary (meaning, which channel is given credit for the revenue), and in this digital age often multiple touchpoints are part of a sale.
If you’re a service based or B2B business, you might be tracking attribution in your CRM, or after you’ve signed proposals.
In some situations, tracking revenue generated is tricky or not possible. In those cases, we suggest tracking leading indicators, meaning things like “number of calls booked” or “number of applications submitted”. There is always something we can track and work towards to develop strong goals for any marketing initiative.
